Special consideration procedures

Procedures

  • Student obtains/downloads the standard university application form from Student Services Centre web page. [All faculties will now use the same form. Special Consideration is only applicable to end of semester assessments]
  • The original application form plus one copy for each unit applied for accompanied by the appropriate evidence are to be submitted to the relevant Faculty Office on each campus no later than two working days after the last examination or final assignment due date.
  • The application form should be stamped and the stamped cover sheet returned to the student as verification. If the application is received by mail the stamped copy should be posted back to the student.
  • The Faculty Office forwards the application to the administrator responsible for Special Consideration on each campus.
  • The administrator responsible for Special Consideration then logs the application in Callista (Register Special Consideration Dtls: ASSF4911) including entering the category under which the application is being made (ie medical, personal, other).
  • The administrator then retains the original and distributes the copy or copies of the application to the individual Chief Examiner(s) within the Faculty, and for Double Degrees, to the designated faculty contact for distribution to the teaching Department/School of that faculty. From this stage administrator in the other faculties will manage the process of assessment and logging of outcomes for their units. They will also write to students regarding deferred examination, additional assessment or extensions.
  • A memo should be attached to the application informing Chief Examiners to complete the recommendation section and return the form so that the details can be logged in Callista.
  • Applications are assessed by the Chief Examiners and they complete the recommendations section of the form and return it to the administrator. The administrator then logs the recommendations in Callista (Register Special Consideration Application Dtls: ASSF4911).
  • The Board of Examiners Register will indicate the students who have applied for Special Consideration. A Callista report detailing Special Consideration Applications will also be run for the Board of Examiners meeting.
  • After Board of Examiners applicants that have had an extension of time or have been granted a deferred examination are sent a letter informing them that an extension has been granted.
