Research supervision procedures

Appointment of supervisors

There are three levels of supervision

  • Sole (100%)
  • Main (75%)/Associate (25%)
  • Joint (two supervisors at 50% each)

Supervision loads are calculated and applied when balancing supervision and teaching within the faculty. Supervisors are appointed at the time of application for candidature. In the case of EdD students and Masters students doing coursework, it may be some time before actual thesis supervision commences. Still a staff member is expected to mentor a student’s early progress. This is reflected in an EFTSU allocation for main supervisors during coursework for these students. Supervision is allocated on the following basis:

  • An applicant asks for a particular supervisor
    The supervisor will be allocated if appropriate (see Requirements for supervisors below) and he or she agrees to take the student.
  • An applicant requires supervision
    An email will be circulated to academic staff seeking interest. Appropriately qualified supervisors will be assessed on the basis of their suitability for the research topic, their supervision workload and campus location.
    Sometimes prospective supervisors are approached because of a clear link between the intended research and a supervisor's expertise.

Requirements for supervisors

To be a main or sole supervisor of doctoral students a staff member needs to have supervised four students to completion, supervised students to completion at another university, or completed supervisor training at Monash University. Main or sole supervisors need accreditation from the Monash Research Graduate School.

To be an Associate supervisor of doctoral students a staff member needs to have a Masters degree, but may not currently be a doctoral student.

To be a supervisor of Masters or Bachelors of Education (Honours) students, in any capacity, a staff member needs to have a Masters degree.

Role of the supervisor

The faculty is particularly concerned that a relationship based on regular contact between supervisor and student is built. To that end regular, at least monthly, meetings are encouraged. Workshops

Supervisor's checklist

Based on the requirement of the Annual Progress Reports for research students, the following checklist has been developed. Supervisors need to:

  • Develop a timetable of regular meetings
  • Assist in the development of a research plan
  • Assist in the development of appropriate research strategies
  • Assist in Ethics clearance
  • Monitor progress, attend to difficulties in a timely manner
  • Report progress on an annual basis through Annual Progress Reports
  • Notify the Director of Research Degrees immediately if there are concerns about student progress
  • Recommend training, support, conference attendance and publication opportunities and sutdents
  • Check workloads, making sure that students comply with limitations on outside employment for full and part time candidates
  • Check that candidates, particularly external candidates, have access to adequate facilities
  • Advise on matters of intellectual property
  • Advise on issues of thesis writing
  • Organise thesis examination

Examination procedures

Format and presentation

Details about format and presentation of theses are available in the Doctoral Information Handbook and on the Monash Research Graduate School web site.

Examiners

It is the supervisor’s responsibility, prior to submission of the thesis, to consult with the student and approach suitable examiners. Examiners must confirm with the supervisor that they are able to examine the thesis in a timely way. Details are recorded on a form available from the Faculty Research Degrees Office. Careful selection is required for examiners for Honours theses, as there is a short timeline for marking.

Submission of PhD thesis

Four copies of the thesis are submitted to the Monash Research Graduate School - Research Services, building 3D, together with three forms:

  • Statement by Supervisor (that the thesis is ready for examination).
  • Submission of Doctoral Thesis.
  • Library Release form.
Submission of EdD thesis

Four copies of the thesis are submitted to the Monash Research Graduate School - Research Services, building 3D, together with four forms:

  • Statement by Supervisor (that the thesis is ready for examination).
  • Doctor of Education – Final Assessment (recording coursework units).
  • Submission of Doctoral Thesis.
  • Library Release form.

Submission of masters thesis

Four copies of the thesis are submitted to the Faculty Research Degrees Office, together with two forms:

  • Statement by Supervisor (that the thesis is ready for examination).
  • Library Release form.


Submission of honours thesis

Three copies of the thesis are submitted to the Faculty Research Degrees Office, together with two forms:

  • Certification from the supervisor (that the thesis is ready for examination).
  • Library release form.

Research supervision training

Accreditation within Monash University is essential for main supervisors of doctoral students. An experienced supervisor who has taken four doctoral students to completion may apply for accreditation. Others are required to fulfil the requirements of nine training modules. These can be downloaded from the supervisor training web site at the Monash Research Graduate School and worked through with a faculty mentor. Alternatively, from time to time, the Monash Research Graduate School runs Supervisor Training Workshops, at which staff are fast-tracked through the modules. Postdocs

The Faculty has a few post-doctoral research opportunities. Information about the University’s postdoc awards can be found at the Research Grants and Ethics Branch web site.

Scholarships

Research scholarships include:

  • Monash Graduate Scholarships (120 annually)
  • Australian Postgraduate Awards (110 annually)
  • International Postgraduate Research Scholarships (20 annually)
  • Monash International Postgraduate Research Scholarships (20 annually).

Scholarships are awarded competitively on academic merit. This means students must be H1 equivalent to be considered for a scholarship. Most scholarships are awarded on an annual basis. Kits are available from the Faculty Research Degrees Office in August. The deadline for applications is the end of October. The faculty rates applicants for the Graduate School to make awards. Regular activities and dates

The following are important activities and dates for supervisors to keep in mind.

Annual Progress Reports

Towards the end of May, Annual Progress Reports (APR) are posted to all research students. Students are required to complete the first section, then submit the APR to their main supervisor, by mid-July. The main supervisor completes the second section and meets with the student to discuss comments and progress. Both the student and supervisor sign the form and submit it to the Faculty Research Degrees Office by the beginning of August. Reports are reviewed in the faculty, and doctoral reports are forwarded to the Monash Research Graduate School by mid-August. Letters seeking explanation for failure to report and interim report requests will be sent late in semester two. The Admin. Officer, Research and Postgraduate Programs processes APRs for the Faculty.

Research Winterschool

Annually in July, a week of research oriented addresses and workshop sessions are offered to all research students. Staff are invited to present sessions. Attendance is voluntary, but research students have found these sessions very rewarding.

Human Ethics Committee

Meetings are held approximately every two to three weeks during the year. Submissions must be received three weeks before the meeting. Further information is available at the Research Grants and Ethics branch web site. All submissions must go through the Faculty Research Office to be signed off by the Assoc. Dean Research.

Scholarships

Scholarship applications for excellent students (H1 equivalent in previous studies) are available in August and must be submitted by the end of October.

Getting research students and funding for research students

It is incumbent on the whole faculty to identify prospective higher degree students in education. Excellent students at all stages should be encouraged to progress to the next stage. Staff may recruit students and advise the Faculty Research Degrees Office of their intention to supervise. International and local requests made directly to academic staff for information about higher degrees may be forwarded to the Faculty Research Degrees Office. Regular advertising and marketing campaigns are undertaken within the faculty to stimulate higher degree applications.

Currently all research higher degrees are covered by the Federal government’s Research Training Scheme (RTS) which waives tuition fees for research degrees. Only amenities fees are charged.
