Privacy

Monash University is required to comply with the Information Privacy Act 2000 (Vic) and the Health Records Act 2001 (Vic). These privacy laws regulate how personal information is handled throughout its life cycle, from collection to use and disclosure, storage, accessibility and disposal. This includes personal information that is transferred outside Victoria . It applies to any personal information that a person provides to Australian campuses of Monash University .

The Faculty of Education has adopted a number of processes to ensure the privacy of prospective and existing staff as well as of prospective and existing students. For example, the Faculty adheres to strict processes in the handling of applications for positions in the Faculty and applicants are informed of these (see Privacy and your application ).

In addition, you should be aware that references you write for students or colleagues could be subject to privacy implications. You need to protect yourself by taking care with what your write or say. See letter from the Dean re privacy implications for referees.

Whistleblowers protection

Monash University subscribes to the Victorian Government's 'Whistleblowers' Protection Act' which was enacted in January 2002. The main purpose of the Act is to encourage and facilitate the making of disclosures of improper conduct or detrimental action by public officers and public bodies. The Act provides protection to whistleblowers who make disclosures in accordance with the Act and establishes a system for the matters disclosed to be investigated and for rectifying action to be taken.

Privacy and your application

Consistent with the Information Privacy Act 2000 (Victoria):

  • All applications will be treated as strictly confidential
  • In applying for this position you will be providing Monash University with personal information. This information will be collected to assess your application.
  • You agree that we may store this information until the position is filled and, in the case of the successful applicant, store in her or his personal file.
  • You may seek access to your personal information that we store about you if you are unsuccessful for the position. However, there will be occasions when access is denied, such as where access would have an unreasonable impact on the privacy of others.
  • We will not disclose this information to unrelated third parties without your consent.
  • It is the policy of Monash University that appropriate safety screening processes are adopted in the recruitment, selection, employment and promotion of staff. This may include a police records check. We will obtain your written consent prior to requesting a police records check in which case you will be requested to sign a 'National Police Records Check Consent Form'.
  • You may provide us with the personal information of others, for example, names and addresses of referees. In this case, we encourage you to inform them that:
    you are disclosing that information to the Faculty and why,
    • they can access that information if they wish,
    • we do not usually disclose that information to third parties and
    • we may store that information until the position is filled and in the case of the successful applicant store on her or his personal file.
